Did you know that OpenBook can help you manage this situation? Using any of the trip reports available to users will allow you to specify a report detailing those people effected by travelling in the next few days. If you have updated travellers profiles inside OpenBook with contact information, you can even customise this report to show you not only who will be effected, but also their contact details, be it e-mail or telephone numbers.
